The Catering Convention Service Manager will act as a liaison between Group Sales and all on-property operating departments to ensure successful events. Coordinate, manage & prepare all Catering and Meeting event documentation (Banquet Event Orders, Meetings and Catering Events, Convention Resumes, amenity requests, etc.) in a timely manner to all property departments, including customers, reflecting accurately the assigned convention requirements. Ensure a consistently high level of service throughout the pre-planning and execution of all events from check-in to check-out.
This position handles events of all sizes that contain functions space. Ensures the seamless turnover of the booking from the Sales team to Service back to Sales department to book again in the future.
As the Catering Convention Service Manager, you will:
- Actively prospects and solicits new contacts and business opportunities for meetings.
- Follow work schedule with a high degree of reliability.
- Flexibility to work weekends, evenings, holidays as required by business levels and management.
- Work in a cooperative and friendly manner with all team members.
- Understand and learn all operating systems including IVVY.
- Perform job according to standard operating procedures.
- Must be able to effectively communicate both verbally and written with all levels of team members and guests in an attentive, friendly, courteous and service-oriented manner.
- Must be effective at listening to, understanding, and clarifying concerns raised by team members and guests.
- Maintain high standards of personal appearance and grooming, which include wearing nametags.
- Must be able to show initiative, including anticipating guest or operational needs.
- Practice Westgate Service Standards with all team members and guests.
- Attend all meetings and training classes as required.
- Conduct Pre-Convention Meetings for all large conventions.
- Plans and coordinates details for meetings.
- Complete accurate BEO’s, upselling food, beverage, room rental, recreation, special amenities,
- and technology.
- Communicate all changes on Event Orders to other departments.
- Acts as on-site contact for meeting and meeting groups and larger groups as needed.
- Produces tickets for master billing including contract services, room rental and guests.
- Complete weekly backlog reports and other departmental reports as designated.
- Attends weekly resume meetings, training programs and other meetings as designated.
- Provides feedback to F&B Director relating to guest comments, observations, industry news.
- Follow up with client contact at the end of each meeting to ensure satisfaction and obtain feedback.
- Assists with and completes special projects and assignments as designated by the F&B Director
- Produces invoices for clients.
- Provide weekly schedule for calls and site visits.
- Perform other duties as requested by management.

- 3 + years of hotel customer service experience.
- Bachelor's degree preferred or relevant hospitality experience.
- Computer literate in Microsoft Window applications required.
- Excellent communication skills, both written and verbal required.
- Strong interpersonal and problem solving abilities.
- Ability to focus attention on guest needs, remaining calm and courteous at all times.
- The Team Member must regularly lift and/or move up to 20 pounds.
- Must be able to work weekends and holidays as needed.
- Required to pass a background screen, drug test, and prove eligibility to work in the United States.
