Job Description

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

Manages office operations and procedures such as, personnel, information management, filing systems, requisition of supplies (i.e. site maps, floor plans, proposals, purchase reviews, loan applications, breakfast invites), purchasing and other clerical services.

 

Verifies accuracy of all aspects of dayline proposal such as unit, price and financial terms. Responsible for obtaining approval by Director of Sales.

 

Receives and processes money transactions for dayline deals. 

 

Collects all necessary documentation (i.e. copy of photo i.d., greensheet, purchase review, option letter) for each proposal and records all necessary information on log sheet before submitting each dayline deal to Contracts.

 

Responsible for receiving and distributing sales inventory such as usage, prices, floorplans, release and holds.

 

Reviews clerical performance and/or productivity to ensure completeness, accuracy, and timeliness.

 

Prepares weekly and monthly reports such as credit life and overs/unders, for guidance of management.

 

Communicates directly and effectively with various departments such as Contracts, Deeding, Tour Desk and VOA.

 

Answers incoming calls for sales department, sales representatives and sales managers.

 

Troubleshoots and resolves sales issues for sales administration and sales managers’ office, including but not limited to all deals, office equipment, limo transportation, microphones and gift vouchers.

 

 

 

SUPERVISORY RESPONSIBILITIES (if applicable)

Directly supervises administrative and clerical employees.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE

One to two years college education; or one to two years related experience and/or training; or equivalent combination of education and experience.

 

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as percentages, discounts, interest, down payments, monthly payments and mortgage protection. 

 

REASONING ABILITY

Ability to apply common sense understanding and problem solving skills to carry out instructions furnished in written and oral form.  Ability to deal with problems involving several concrete variables beyond standardized situations.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business procedures, reports and company policies.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from managers and customers.
