Job Description

The Operations Coordinator provides administrative coordination across multiple departments, aiding
day-to-day operations through accurate data entry, presentation preparation, and clear communication
support. The role keeps information organized and moving so teams, including technical groups like
Millwork, can act with speed and clarity. Additionally, the Operations Coordinator supports the Operations
Manager on projects and assists with project execution as assigned.

As an Operations Coordinator you will be responsible for:

  • Cross-department Coordination: Assists multiple departments by collecting requests, organizing details, and improving workflow.
  • Data Entry & Updates: Enters and updates task/service information to keep records current and easy to locate.
  • Documentation Management (SharePoint): Organizes and maintains shared folders, templates, and reference materials using clear structure and naming in SharePoint.
  • Presentations &Materials: Prepares concise slide decks and one-pagers for updates and reviews.
  • Communication Support: Drafts/distributes routine updates and stakeholder/vendor messages; capture key actions and ensure follow-through.
  • Scheduling & Team Logistics: Helps manage departmental calendars, shared inboxes, and engagement initiatives; sends confirmations and reminders.
  • Purchasing Lifecycle Support: Processes MRFs, places requisitions (REQs), assists with receiving, maintains documentation, and conducts follow-ups on ETAs to closure.
  • Inventory Management: Performs cycle counts, places orders, and replenishes stock, including uniforms—using an inventory system; keeps records reconciled and up to date.
  • Maintenance Systems (CMMS): Assists with Computerized Maintenance Management System  entries, status updates, notes/attachments, and clean closures.
  • Vendor Coordination: Coordinates time windows, readiness requirements, access, and basic paperwork; maintains contacts and general correspondence.
  • Project Support: Supports the Operations Manager on projects and assists with project executions assigned.
  • Other duties as assigned by Corporate Engineering leadership.

Experience

  • 3-5 years of relevant administrative experience with emphasison scheduling is required.
  • Experience with Oracle Fusion, SharePoint and HotSOS, preferred.
  • Prior experience coordinating projects is a plus.
  • Experience in facilities, maintenance, operations, or construction industry is preferred.

Education & Certifications

  • High school diploma or General Education Degree (GED) is required.
  • Associate’s or Bachelor’s degree in Business Administration or related field preferred.

Skills/Knowledge

  • Ability to communicate in Spanish verbally and written is preferred.
  • Must be proficient in Microsoft Windows and Office.
  • Demonstrated ability to handle confidential information with utmost discretion and professionalism.
  • Extremely well organized and attentive to detail.
  • Positive attitude, collegial, and willing to assist the team as needed, with a sense of enjoyment in work well done.
  • Adaptable and highly organized, with the ability to manage multiple, competing deadlines and shifting priorities.
