Westgate Resorts is seeking a detail-oriented Document Processing Specialist - Title & Trade to support our funding, lending, and document management operations onsite in Ocoee, FL. In this role, you will manage collateral documentation between Westgate, custodians, lenders, attorneys, and escrow agents to ensure timely funding, accurate recordkeeping, and compliance with portfolio requirements.
The ideal candidate will possess strong organizational skills, attention to detail, and the ability to research and resolve document-related issues. This position plays a critical role in supporting collateral processing, funding operations, title research, and loan documentation management.
What You Will Do:
- Manage collateral records between Westgate, custodians, lenders, attorneys, and escrow agents.
- Review accounts to identify documentation issues that may delay funding or release of escrow funds.
- Process and execute deeding documents and funding packages required by lenders and escrow agents.
- Coordinate collateral release requests for accounts that are no longer eligible for lender portfolios.
- Track and maintain accounts rejected from the funding process and assist with issue resolution.
- Meet funding deadlines established by management while ensuring compliance with lender requirements.
- Process all incoming collateral-related correspondence from attorneys, custodians, lenders, and external partners.
- Research and resolve title, funding, and collateral discrepancies through detailed document review and investigation.
- Maintain accurate records of recorded legal documents, including book and page information.
- Utilize public records databases to obtain recorded documents not yet received from attorneys or available internally.
- Locate, retrieve, print, and organize documentation using ImageQuest and internal systems.
- Research and locate missing documentation through system comments, electronic records, or archived files.
- Serve as a liaison between attorneys, lenders, custodians, escrow agents, and internal departments.
- Resolve funding exceptions and documentation issues that may impact collateral eligibility.
- Provide regular updates and status reports to management regarding collateral and funding activities.
- Work within the CSM program and other internal systems to support deeding and funding processes.
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty and responsibility. The requirements listed below represent the necessary knowledge, skills, and abilities.
What You Will Bring:
- Experience working with collateral management, loan documentation, lending operations, escrow processing, or title administration.
- Experience utilizing document imaging or records management systems such as ImageQuest.
- Familiarity with funding processes, lender requirements, and legal document recording procedures.
- Minimum of 6 months to 1 year of experience in one or more of the following areas: Loan Administration, Mortgage Processing, Funding Operations, Escrow Administration, Financial Services, Records Management, Title Processing, Administrative Support.
- Proficiency in Microsoft Excel, Word, and Access.
- Strong data entry skills with the ability to maintain accuracy in high-volume environments.
- 10-Key proficiency of at least 5,000 KPH preferred.
- Excellent organizational and time-management skills.
- Strong analytical and problem-solving abilities.
- Ability to research, interpret, and review legal and financial documentation.
- Ability to prioritize multiple tasks while meeting deadlines.
- Effective written and verbal communication skills.
High School Diploma or GED required.
