Provides administrative support to ensure the efficient operation of the office. Supports managers and team members through a variety of organizational and communication tasks. Handles confidential and time-sensitive information with discretion and professionalism. Communicates effectively via phone and email, ensuring all administrative duties are completed accurately, with high quality, and in a timely manner. Demonstrates the ability to prioritize tasks, work independently, and support multiple projects. May assist in directing the work of others and uses sound judgment, initiative, and creativity to accomplish goals.
Duties:
- Answer, screen, and direct phone calls, emails, and in-person inquiries, providing accurate information and excellent customer service.
- Greet and assist visitors, ensuring a professional and welcoming office environment.
- Manage calendars, schedule meetings, appointments, and conference calls for staff and leadership.
- Prepare, edit, and distribute correspondence, reports, presentations, and other documents.
- Maintain organized filing systems (electronic and physical) and accurate contact lists.
- Perform general administrative duties including filing, typing, copying, scanning, and document preparation.
- Coordinate travel arrangements for staff and senior managers, including itineraries and expense reporting.
- Prepare, submit, and reconcile expense reports and assist with invoice processing and tracking.
- Maintain office supply inventory, place orders, and ensure timely replenishment of materials.
- Ensure proper operation of office equipment by coordinating maintenance, repairs, and inventory tracking.
- Take accurate meeting minutes and assist with follow-up on action items.
- Support report generation and assist in preparing regularly scheduled and ad hoc reports.
- Handle multiple projects and priorities in a fast-paced environment while meeting deadlines.
- Maintain confidentiality when handling sensitive information.
- Coordinate and streamline office procedures to improve efficiency.
- Support team operations and contribute to overall organizational success as needed.

- High school diploma or general education degree GED.
- Follow instructions without close supervision.
- Must be able to work weekends and holidays as needed.
- Required to pass a background screen, drug test, and prove eligibility to work in the United States.
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficient in MS Office.
