Job Description

As an Engineering Administrative Assistant, you will play a key role in supporting the Engineering and Maintenance teams by ensuring smooth daily operations through strong organization, communication, and administrative coordination. This position blends administrative responsibilities with cross-department collaboration to support projects, purchasing, payroll, and vendor relations.

This is an excellent opportunity for individuals interested in administrative support within engineering, facilities, or hospitality environments.

What You Will Do:

  • Provide administrative support to the Engineering and Maintenance teams, including scheduling, meeting coordination, and documentation
  • Prepare and process purchase orders for materials, tools, and supplies
  • Maintain accurate and organized records of purchase orders, receipts, and vendor communications
  • Track and submit payroll for engineering staff, ensuring accuracy and timeliness
  • Coordinate with vendors, contractors, and internal departments to support projects and resolve issues
  • Communicate professionally via phone, email, radio, and in person
  • Assist with compliance, reporting, and record-keeping for departmental operations
  • Support team operations as needed, including occasional on-site coordination
  • Identify and report potential safety or operational concerns
  • Represent the company with professionalism in appearance and communication
  • Perform additional administrative duties as assigned

Qualifications

What You Will Bring:

  • Previous administrative, clerical, or office support experience (hospitality or engineering support preferred)
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and basic computer systems
  • Ability to multitask, meet deadlines, and work in a fast-paced environment
  • Professional demeanor with strong attention to detail
  • Ability to work independently and as part of a team

Education & Requirements:

  • High School Diploma or GED required
  • Valid driver’s license required
  • Ability to pass a background check and drug screening
  • Flexible availability, including weekends and holidays as needed
